File the bundle tonight. Then sleep well.

Black out text so it is really gone. Put Bates numbers on every page. Make scans searchable. Sign in a way that shows if anything changes later. The careful parts of legal work, in one place.

  • Redaction removes, it doesn't just cover
  • Signatures anyone can check
  • Files deleted after processing
The KovaPDF editor in Redact mode on a non-disclosure agreement. Names and emails are blacked out, a company name is marked everywhere it appears, and the footer carries a Bates number.

A day in practice

Where the hours quietly go

Four everyday jobs, and how they go in KovaPDF.

  1. 08:30Disclosure

Two boxes of scanned letters need to be searchable by lunch.

    The problem

A scan is just a picture. You can't search it for a name, and reading every page by eye is how things get missed.

    What you do in KovaPDF

Run OCR PDF so every page gets real text. It reads nine languages, including Spanish, Arabic and Chinese. Then merge the scans into one bundle you can search.

  2. 11:00Before it goes out

Names, account numbers and a child's birthday must not leave the office.

    The problem

A black box drawn on top of text can often be removed or copied out. One slip and the other side has it.

    What you do in KovaPDF

Use Find & mark to catch every place a name or number appears. Check the marks, then download. What's under each box is removed from the file.

  3. 15:20The bundle

The court wants every page numbered the same way.

    The problem

Five documents, three formats, and one numbering system everyone has to follow.

    What you do in KovaPDF

Turn the Word files into PDF and merge everything in order. Add Bates numbers in the editor with your matter prefix. Header & Footer puts the case reference at the top of each page.

  4. 18:05Signing

The settlement must show it hasn't changed since it was signed.

    The problem

A picture of a signature proves very little. If one word changes after signing, nobody can tell.

    What you do in KovaPDF

Sign with your own certificate (.pfx or .p12) in Digital Signature. Add a trusted timestamp if you like. The other side opens it in Verify Signature and sees if it's intact, who signed and when.

Redaction

A black box isn't redaction. Removing the text is.

Drawing a box over a name hides it on screen. But the words are often still in the file, and anyone can copy them out. KovaPDF deletes what's under every box when you download. There's nothing left to find.

  • Find & mark catches every match on every page
  • Mark pictures and signatures, not just text
  • Black or white boxes, with a label like REDACTED if you want
  • Search the saved file and nothing comes up

Signatures and archive

Proof that lasts long after signing.

If someone reads a document again in five years, the signature needs to say more than a name. A certificate signature shows if anything changed after signing. PDF/A keeps the file readable for the long term.

  • Sign with your own certificate, with a trusted timestamp if you like
  • Check any signed PDF: intact or not, who signed, trusted or not, and when
  • PDF/A checked against the standard, with every change explained
  • Lock a file with a password and choose what readers can print or copy

Confidentiality

Your clients trust you. Here's what we do with files.

Confidential papers deserve a straight answer.

Sent over a secure connection

Your files travel to and from us encrypted (TLS).

Deleted after processing

When a tool runs on our server, we keep the file only while we work on it. Then we delete it.

Signing files have an end date

Files in a signature request are deleted 30 days after the request ends. Download your signed copy before then.

Some tools never upload

24 tools, like Merge, Split and Protect, work only in your browser. The file stays on your device.

Redaction really removes

What you black out is deleted from the file. Nobody can copy it or find it by searching.

Two-step sign-in

Anyone can turn it on. On Business, an admin can make it a must for everyone.

To be clear: the PDF editor and most converters run on our servers, so your file is uploaded when you save. We process it in memory and then delete it. This is not end-to-end encryption. If you need that, use the tools that work in your browser.

Questions

Questions lawyers ask us

Is redacted text really removed from the file?

Yes. When you download, the text, pictures and drawings under each box are deleted from the PDF. Searching or copying the saved file won't bring them back. You can preview the boxes as they will look before you download.

How do I add Bates numbers?

Open the PDF in the editor, go to Page design and choose Bates numbering. Set the text before and after the number, the start number, how many digits, and where it goes on the page. The numbers are added to every page when you download. Bates numbering is part of Pro, Team and Business.

What's the difference between Sign, Request Signatures and Digital Signature?

Sign PDF puts your own signature on a page. Request Signatures sends a document to other people to sign and records each step. Digital Signature signs with a certificate file you own, so any later change shows. Verify Signature checks those certificate signatures.

Can it read scans in other languages?

Yes. OCR reads nine languages, including English, Spanish, Portuguese, Arabic, Russian and Chinese. It can also detect the language for you. You get a PDF you can search and copy text from.

Is KovaPDF OK for confidential material?

Files are sent over an encrypted connection, processed in server memory and deleted afterwards. This is not end-to-end encryption, so check it against your firm's rules. 24 tools, like Merge, Split and Protect, work only in your browser and never upload the file.

Can we archive closed matters?

Yes. PDF to PDF/A turns a file into the long-term archive format. It checks the result against the standard before you download, and lists every change it made.
