Terms of Use

These Terms of Use are a contract between you and KovaPDF (“KovaPDF”, “we”, “us”). They apply the moment you upload a file, create an account, or otherwise use the site — you do not need to click anything for them to take effect, and if you do not accept them the correct response is simply not to use the service.

Two other documents form part of this agreement and are worth reading alongside it: the Privacy Policy, which governs data, and the Copyright page, which governs ownership of your documents and of the site itself. Where a conflict exists, the more specific document wins on its own subject.

KovaPDF is a set of browser-based tools for editing, converting, combining, splitting, compressing, and reading PDF files and images. Some tools run entirely inside your browser; others upload your file to our server, transform it, return the result, and then delete the working copy. Which tool does which is described in the Security page rather than repeated here, because that is where it can be kept accurate.

We change, add, and retire tools. We may do so without notice, though we will not remove a tool in a way that destroys work you have already saved to your own device — nothing you download is ever dependent on us continuing to exist.

You may use KovaPDF if you are old enough to enter a binding contract where you live, and in any case at least 13 years old. If you are using it on behalf of an employer or client, you confirm you are authorised to accept these terms for them, and “you” means that organisation as well as you personally.

You may use the service without an account. Guest use is deliberately supported and is not a lesser tier of trust — it simply carries a lower hourly operation limit, because we have no way to attribute repeated use to anyone.

You keep every right in the documents you upload. We claim no ownership, no licence to publish them, no right to use them to train models, and no right to show them to anyone. The only permission you give us is the narrow, temporary one we actually need: to receive the file, process it as you asked, return the result to you, and delete our copy.

You are responsible for having the right to do what you are doing with a file. Uploading a document you are not permitted to copy, alter, or extract text from does not become permitted because a tool made it easy.

Do not use KovaPDF to:

• process material you have no legal right to process, including copyrighted works belonging to someone else and documents obtained without authorisation;
• create or alter documents in order to deceive — forged identity documents, falsified contracts, altered invoices, fabricated certificates or academic records;
• upload malware, or files crafted to exploit the parsers and renderers the service depends on;
• circumvent the operation limits — for example by cycling identifiers, addresses, or accounts to obtain more capacity than your plan provides;
• automate the service at a scale that degrades it for others, or scrape it to build a competing product;
• attempt to access another user’s files, account, or session, or any part of our infrastructure you have not been given access to.

Security research is the exception to the last point, and a welcome one — but only under the terms set out on the Security page.

You are responsible for keeping your password to yourself and for everything done through your account. Tell us at support@kovapdf.com if you believe someone else has access to it, and change the password immediately — signing in again does not by itself end other sessions.

Give us an email address you actually control. It is the only route we have for password resets and for notice of a security incident, and we cannot verify your identity by any other means if you lose access to it.

There is a cap on how much can be run through the tools in an hour. It exists so that a handful of very heavy users cannot take the service away from everyone else.

Reaching it is not a penalty and nothing happens to your account. The allowance refills as the hour rolls forward, and you can carry on.

The service is provided as it is. We work to keep it running and correct, but we do not promise uninterrupted availability, and we do not promise that every tool will produce a perfect result on every file.

One area deserves to be said plainly rather than buried in a disclaimer: text recognition is an estimate, not a transcription. Our OCR tools — Image to Text, PDF to Text on scanned pages, and the OCR PDF tool — infer characters from pixels. Accuracy is usually high on clean documents and falls on low-resolution scans, photographs, unusual typefaces, handwriting, and dense mixed-script text. Recovered text can contain errors that look entirely plausible. Check the output before relying on it for anything that matters, and never treat a recognised figure in a contract, invoice, prescription, or legal filing as verified.

The same applies to editing a scanned page: the result is a faithful reconstruction, not a restoration of the original file, and small visual differences from the source are expected.

To the fullest extent the law where you live allows, KovaPDF is not liable for indirect or consequential loss — lost profit, lost business, lost or corrupted data, or the cost of substitute services — arising from your use of the service.

Where liability cannot lawfully be excluded, our total liability to you for all claims in any twelve-month period is limited to the greater of the amount you paid us in that period, or US$50.

Nothing here limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited under the law that applies to you. Some jurisdictions do not allow certain exclusions, in which case those exclusions simply do not apply to you and the rest of this section stands.

Keep your originals. Every tool here transforms a copy and hands it back; none of them is a backup. If a result is not what you expected, your original file should still exist on your own device.

You can stop using KovaPDF at any time, and you can have your account and its data deleted — the Privacy Settings page explains how.

We may suspend or close an account that breaches the acceptable-use rules above, that is being used to harm the service or its users, or that we are legally required to act on. Where the circumstances allow it we will tell you why and give you a chance to respond; where a breach is serious or ongoing we may act first.

We update these terms as the service changes. The date at the top of this page always reflects the current version. For changes that materially reduce your rights we will give notice on the site before they take effect; for corrections and clarifications the updated page is the notice. Continuing to use KovaPDF after a change means you accept the revised terms.

If part of these terms turns out not to hold, the rest still does. Not enforcing something once does not mean giving it up.
