Why send it for signature instead of emailing the PDF?

How to get someone to sign a PDF

  1. Upload the PDF here. Use the box at the top of this page. A Word file or a photo works too; it is turned into a PDF first.
  2. Add the person who signs. Their name and email. Add yourself as well if you also need to sign.
  3. Show them where to sign. Drag a signature box to the line, and add a date box next to it. Add initials or text boxes if the form needs them.
  4. Send it. Press Send. If this is your first time, make a free account with a verified email at this step. The other person gets an email from you with a private link.
  5. Download the signed copy. When they finish, you both get the signed PDF with its certificate of completion.

What the other person sees

This is the part people worry about, so here it is from the signer's side, on a phone.

  1. An email from you. The subject names the document, and the message you wrote is in it. One button opens the document.
  2. A start card. It says who sent it, your message, how many places there are to fill and roughly how long it takes. There is a big Start button. Under it, the page says plainly that pressing Start means agreeing to sign electronically. They can also choose to read the document first.
  3. A guide bar at the bottom. It says which field is next ("Field 2 of 3: your signature") and a yellow tag points at it on the page.
  4. Drawing the signature. They draw with a finger, or type their name in a handwriting style. Once made, it is offered for every other signature box, so they do not draw it five times.
  5. Finish. They press Finish and can download their copy straight away.

No app, no account and no password. If you set an access code, they type it once at the start.

If they cannot or will not sign

They can decline and give a reason, which you see in your sent documents. If you allowed it, they can also pass their turn to someone else (a colleague who handles contracts, say), and the reason is recorded in the audit trail.

Asking, inviting, allowing

People search for this in different words: how to ask someone to sign a PDF, how to invite someone to sign, how to allow someone to sign. On KovaPDF they are all the same thing: adding the person to the request is the invitation, and the email is the ask.

The Free plan has a limited allowance of requests each calendar month, and paid Pro and Team plans. Pro removes the limits.
